Appointments and Triggers

To understand how it works, we'll first need a couple of campaigns that we’ve already created.

 

 

Using these Campaigns, we’re going to create a trigger for our Appointments.

 

Click Automation on the left menu, and then click Triggers on the top menu.

 

 

In our Triggers view, we'll need to set up a rule.

 

Click New Basic Rule in the upper right.

 

 

And in the pop-up that appears, give the trigger a name and click Save. We’re going to call our rule, “Appointment Triggers.”

 

 

Now, we’ll choose a trigger condition for the rule. Click the dropdown and select Appointment from the list.

 

 

Next, click Add filter.

 

 

Then, click the Select Filter dropdown, and choose the "Appointment status is" filter.

 

 

And we’ll select Confirmed in the Select status dropdown.

 

So for our condition, we've told our trigger to activate whenever an appointment has been confirmed. 

 

 

Now we'll define the action that happens when this trigger is activated.

 

Click Add action on the right.

 

 

And then select "Remove from all Campaigns" from the Choose an action dropdown.

 

That means that whenever an appointment is confirmed, the contact will be removed from all campaigns. 

 

Let's click Add action again.

 

 

This time, we'll select Add to Campaign from the dropdown.

 

And from our Select Campaign dropdown, we'll choose the "Appointment call confirmation First time" campaign.

 

 

But we're not done with our automation yet. Let's click Add action again.

 

We also want to add the contact to another campaign, so we'll select Add to Campaign again and then select the Appointment Call Reminder campaign. 

 

Going even further, click Add action once more.

 

 

This time when we open the dropdown, we’ll choose Send email from the list.

 

 

This opens the standard email interface. We'll add email addresses to the From and To fields and then add a subject line.

 

 

To write the text of the message, you can combine normal text and custom values, such as contact full name and appointment start date.

 

Here's what a completed email text with custom values might look like:

 

 

For our last action, we want to add our confirmed appointment into one of our pipelines. 

 

Click Add action again and choose Add/Update Opportunity.

 

We've selected Testpipeline2 as our pipeline and set the stage at Booked call.

 

 

Lastly, we'll set the trigger to Active and click Save.

 

 

Here is the trigger we've just created in the main triggers view. 

 

 

Now, whenever someone books an appointment, they'll be removed from all campaigns, added to 2 new campaigns, sent an email, and be added as an opportunity to one of our pipelines. 

 

As you can see, adding triggers for appointments can improve your workflow significantly.
