Manage Leads From Opportunities Tab

Most of the leads are going to start their journey at Stage 1 of your Pipeline.

We recommend that you move your leads along the pipeline depending on the step of the process they are in.

Keep moving your leads until you reach your end goal!

 

 

Moving Opportunity Cards

You can change the stage OR status of your leads by dragging and dropping them where you want them to be.

TIP: Hold the click on top of the white card, then move it in any direction.

 

 

Edit/Update Opportunity Details - Step 1

To see your opportunity card menu, click on top of the white card of the contact you wish to see.

 

 

Edit/Update Opportunity Details - Step 2

Once the box opens, you can see and edit the details of that opportunity card, including:

  • Contact info & Opportunity Info

  • Appointments

  • Tasks

  • Notes

PRO TIP: Add, edit or remove these details easily by using this menu. Once you finish editing, click on "Update"

 

 

Access Full Contact View - Step 1

To see your opportunity & contact details, simply click on top of the contact's name.

 

 

Access Full Contact View - Step 2

This action will take you to the full contact view where you are able to:

  • Access and edit the contact's information

  • Manage your conversations, send SMS, emails and make calls

  • Add or Update the notes, tasks and appointments related to that contact.

 

 

Calling From Opportunities Tab

When you are in the Opportunities Pipeline, locate the contact you'd like to call. Then click on the phone icon on the left side of the opportunity card to start your call.

 

 

Call In Progress

Once the call starts, at the top, you'll notice the name of the contact & the period of time that the call has been in progress for.

The conversation timeline will also keep a log of when the call was made. If the call recording option is enabled you'll also be able to listen to the recording right after your call.

 

 

Call Options In Progress

When the call starts the dialer will show you options to mute, dial, hold, blind transfer, & warm transfer.

And you can also hang up the call from this menu.

 

 

How To Manually Create New Opportunities

To add/create new opportunities there are 2 options:

  1. creating opportunities from the Conversations tab

  2. Creating them from the Opportunities Tab.

     

Here's a guide on how you can create opportunities manually.

 

Add/Create A New Opportunity from Conversations Tab

Go to the "Conversations" tab.

 

 

Select The Contact

Choose the contact you wish to create an opportunity for. You can click on "All" to see all of your contacts.

PRO TIP: Use the search bar to help find the contact when you have many contacts.

 

 

Click On "Create Opportunity"

Next, click on "Create Opportunity" to open the opportunity menu.

 

 

Select The Pipeline

Once the box opens, double check the opportunity name to make sure it's the right contact.

Then click on the "Pipeline" dropdown to choose the which pipeline you want this contact in.

 

 

Select The Pipeline Stage

Next, click on "Select Stage". Then choose the pipeline stage that best represents where your contact is.

 

 

Select The Status

Next, click on the "Statusdropdown to choose a status. And then pick an appropriate status among Open, Won, Lost or Abandoned.

 

 

(Optional) Add Opportunity Source

Click the "Source" field. Make this something meaningful so you can track where your leads are coming from.

 

 

Click On "Add"

Click on "Add" to finish up and create the opportunity.

 

 

Add/Create A New Opportunity from the Opportunities Tab

To create a new opportunity in your pipeline, simply go to the "Opportunities" tab and click on the "+New" button.

 

 

Add The Contact Info

Once the box opens, enter the contact information first:

  • Full Name

  • Email

  • Phone Number

  • Company Name (optional)

  • Tag (optional)

 

 

Add The Opportunity Name

Click on the "Opportunity Name" text box to edit the Opportunity info. This is the name that will show on the opportunity card.

 

 

Select The Pipeline

Next, click on "Select Pipeline". Choose the pipeline from the dropdown menu.

 

 

Select The Pipeline Stage

Click on "Select Stage", then choose the pipeline stage that best represents where your contact is.

 

 

Select The Status

Next, click on the "Statusdropdown to choose a status. And then pick an appropriate status among Open, Won, Lost or Abandoned.

 

 

(Optional) Add Opportunity Source

Click the "Source" field. Make this something meaningful so you can track where your leads are coming from.

 

 

Click On "Add"

Click on "Add" to finish up and add the opportunity.

 

 

Select Date & Time

By using this filter, you can choose a particular date and/or time range base on the date the opportunities were created.

You can choose within the date ranges option on the left side,
OR
Choose specific dates from the calendar view.

After you choose your date range, click on the "tick: mark to display the contacts created on that specific date range.

 

 

Date Added (DESC/ASC)

This allows you to sort your opportunities in either ascending or descending order according to date.

 

 

Pipeline Choice / Filter

You can have multiple pipelines in your account, these will depend on your needs and process. If you'd like to learn more about pipeline use cases, click here.

When you have several pipelines in your system, you can use this to choose which pipeline you wish to view the opportunities in.

 

 

Opportunity Owner Filter

You can assign leads to yourself or a specific team members.

This filter will show the leads for that specific team member only or the entire team. It will also show you exactly where the contacts are in the process.

 

Opportunity Status Filter

When you change the status of a contact, they are moved to a different view. This help you stay organized and focus on the open leads.

The "Status" filter will allow you to see the opportunities which are in a specific status:

  • All: the total number of contacts or opportunities

  • Open: contacts you're following up with and reply consistently

  • Won: when you've completed the sale or the main goal of your process

  • Lost: contacts that requested to stop the follow up or are not interested

  • Abandoned: when a contact stops responding

PRO TIP: You can change the status of your contacts by dragging and dropping them to the 3 statuses at the bottom.

 

 

Search Bar

The search bar is very helpful if you need to find a specific contact on your Opportunities pipeline.

 

 

Downloading An Opportunity List

If you want to download a list of your opportunities, simply start by clicking the "Opportunities" in the left menu. From here, there's 2 options to download your leads:

 

 

Downloading ALL Opportunities

If you want a complete list of all the opportunities in this pipeline, simply click the download button and you will get a .csv file which you can read with Excel, Google Sheets or any other spreadsheet software.

 

 

Filter Your Opportunities

You can apply filters to your Opportunities Pipeline to get a very specific list of contacts. Click here to see a guide on the filtering options.

In this step, choose the filter of your preference.

 

 

Downloading Filtered Opportunity List

Once you've filtered the the opportunities in your pipeline, simply click the download button and you will get a .csv file which you can read with Excel, Google Sheets or any other spreadsheet software.
